Collaboration

On 5 Dec we experienced a problem where Alfresco was running slowly. Performance stabilised later the same day.

Compute Cluster

There are no issues to report.

Computers

We installed Outlook 2011 to managed Macs and Outlook 2010 to managed Windows 7 PC during December, and provided advice via the website for users who manage their own workstations.

Databases

On 19 Dec the Filemaker server went unresponsive and the server was restarted. Unfortunately the staff directory area of the Life Sciences website was affected by this outage until the data was resynced from the Filemaker data. We have put in place contingencies to prevent the website being similarly affected in future.

Email

There were several incidents where the Groupwise email service was unavailable, including periods when one or more of the Life Sciences post offices were offline as well as problems with the IMAP and Webmail services.

On 15 Dec, the Senior Management Team for Dundee University gave its final approval to switch to Office 365 and preview access to personal email accounts was enabled for staff and students throughout the University. We had started the deployment of Outlook 2011 to Macs and Outlook 2010 for Windows 7 PCs was planned for shortly afterwards. We had received assurance that proxy access for resources would be in place before the Christmas vacation (Ed: note this was only completed by ICS in January 2012).

Security

Servers

Over the weekend 09-11 Dec we migrated data for the MRC file server to the new Alloy storage platform. During this time the server was offline, and unfortunately there was a permissions error that prevented staff from accessing workstations and shares until Monday morning.

Storage

On 2 Dec, ICS applied a firmware update to their storage to address some of the problems with filestores and email provision.

On 7 Dec there were problems with the servers that provide access to the cluster over CIFS/Windows shares. We turned off the clustered samba system which had been working well for the past 6 months and restored service using a non-clustered version from a single node.

On 12 Dec there was a sustained period of very high latency (12:10-12:30) that we believe was due to synchronisation between the two zones that we use, and after this time the services resumed normal operations.

On 14 Dec we needed to restart the homes fileserver to address an issue relating to quota management; this was completed successfully at 21:00 that evening.

On 20 Dec ICS had scheduled storage hardware updates during the weekly maintenance window (Tuesday 7-9am), but due to delays with the upgrade the Netware shares were not available until 10:45.
