Software License Management

Aim

To supply, maintain, and provide general support for strategic software such as office applications, electronic mail and web browsing software available to all members of the CLS.

Service Description

Licensing Conditions

LSC will attempt to obtain the most cost effective licence deal available, based on the number of users. For example:

  • It may be possible to purchase a site licence, giving unrestricted access throughout the University.

Some site licences provide the additional option of copies for use on users own equipment. If the terms of the site licence permit use on the users own equipment, then the software may be purchased from University of Dundee ICS Reception Park Place.

It can sometimes be more cost effective to buy a number of concurrent licences. The software can then be made available on LSC managed equipment by using a licence manager to limit the number of copies in use.

Some suppliers only allow ‘per seat’ licensing, and in this situation, it may be necessary to restrict availability.

Normally educational licences cover only educational use of the product by staff and students of the University.

Negotiating Contracts

Purchasing information is made accessible on the LSC blog (https://support.lifesci.dundee.ac.uk/news) whenever possible, in order to ensure that users have the latest information.

The University has purchased a Microsoft Campus Agreement. This allows certain Microsoft products to be installed on University owned equipment. Staff who use the products on a University owned computer may also install a copy for Academic use on home PC’s. The availability of products and terms of the licence may vary from time to time and users are advised to consult the University ICS website (http://www.dundee.ac.uk/ics/services/software/select.html).

Students are not covered by the Microsoft Campus agreement.

Microsoft licences that are not covered by the Microsoft Campus agreement may be available contact LSC.

LSC will continue to test and evaluate the latest software releases. Once the evaluation is successfully completed, software that is centrally provided and supported is made available.

The pricing policy for software provision, broadly expressed is:

  • To centrally fund strategic and medium use software made available on computers managed by LSC.
  • To charge fully for specialist software.

User Responsibilities

  • Users must ensure that they are aware of and observe the terms of the appropriate licence agreement covering the use of software provided by LSC. The terms of use for software provided under CHEST agreements are available on the CHEST web site (http://www.eduserv.org.uk/chest).

Service Targets

  • LSC will maintain links via the LSC home page to relevant sites such as CHEST, Microsoft Student Sales, and a List of Software Support Levels.
  • Items for which a new site licence has been acquired will be available to users within 3 weeks of the master disks being received. (Note: LSC is reliant on suppliers for delivery times and cannot make any commitment regarding the time taken to fulfil particular orders).
